MATCHING FUND APPLICATION FOR 2010
MINI-GRANT PROJECTS
Thank you for making the time and effort to enhance our community. This packet contains all of the paperwork you will need to meet grant requirements.
The deadline for submitting applications is January 30, 2010.
INSTRUCTIONS
• Your projects need to have broad support so choose projects through group discussion with either the entire neighborhood meeting attendees or your core group.
• Refer to the Match Guidelines and Project Ideas sheet.
• Choose a mini-grant committee or coordinator. If you have a committee, designate a contact person for the Office of Neighborhoods.
• When you decide on a project, contact the Office of Neighborhoods Coordinator to determine the feasibility.
• If your project involves city departments such as Parks or Public Works, now is the time to get their input and coordinate with them. Document their approvals.
• Complete both sides of the Project Work Plan form for each project and record them on the Summary Page. A sample completed application is included to help you.
• Turn in your completed application to the Office of Neighborhoods, 2930 Wetmore Avenue, 9th Floor, Everett, WA 98201. The deadline for submitting applications is January 30, 2010.
• Processing approval should be completed by the City within 4 weeks of submittal. You will receive an approval letter to confirm the proposal’s status.
• No reimbursements will be made on purchases prior to approval of the grant.
• Projects must be completed by December 10, 2010. Requests for reimbursement must be received by December 18, 2010.

MINI-GRANT MATCH GUIDELINES AND PROJECT IDEAS
MATCH GUIDELINES
Matching Grant funds contributed by the City of Everett are to be complimented by an equal or greater match from the neighborhood. A match consists of services, goods or volunteer labor valued at $20.00/hour and must directly contribute to the scope of the project. You will be given time sheets to help you record volunteer time. Design projects require one half match of the value of City funds. We encourage you to obtain pledges from volunteers prior to submitting this grant to strengthen the project’s likelihood for success. Pledge sheets are attached. Your match needs to be documented. These are some of the types of records that will serve as documentation: Record hours worked at a work party. Provide a letter from a business listing the donations and their value. Write a summary of materials donated and their value. If you have gotten money donated, provide a cash receipt.
Match eligible activities start after the Office of Neighborhoods awards your grant. The exception is for the time spent writing the proposal – up to 10 hours. Regular neighborhood association meeting time can be counted toward the match for the amount of time the project is actually being planned or discussed at that meeting.
